The Board of the Milton Farmers’ Market is looking for an energetic, self-motivated go getter to manage the overall operations of the market. The responsibilities include, but are not limited to, serving as the face of the market – interacting and coordinating with customers, vendors, the Board, market neighbors, and the general public, managing the Market on market day, promoting and advertising, maintaining social media and newsletters, and managing the market’s finances.

This position is part-time starting in May and runs through October. Hours vary, but in general are 12-15 hours per week during market season, fewer off-season.

Be present on all market days (from one hour before open to one hour after close), Thursdays, June 17, 2021 – October 28, 2021, 12-7pm

Day of the Market Responsibilities:

  • Serve as the face of the market (be available one hour before the opening and remain one hour after the closing).
  • Create vendor map of market space; assign vendors to space (most know where they go from previous years).
  • Mark vendor spaces with spray paint if needed (park away from hydrants and sidewalks). Try to keep vendors in the same space throughout the season to avoid vendor/shopper confusion.
  • Direct setup and breakdown
    • walk around site to ensure it’s clean and there are no surprises (dog poop, dead animals, etc.);
    • assist with vendor tents;
    • hang flag and direction signs;
    • set-up manager table (first aid kit, water, constant contact forms) and community message board, etc.;
    • ensure yacht club is unlocked, bathrooms are clean and stocked – key is available if with a point person if needed;
    • inspect site after market closes; ensure yacht club bathrooms are clean and restocked.
  • Ring the Bell, 1pm (take a photo of a vendor ringing the bell – it’s tradition 🙂
  • Count customers with tally counter.
  • Pay musicians at the end of performance.
  • Distribute bicycle coupons and reimburse vendors at the end of the market day (5:45pm)
  • Resolve conflicts, emergencies, or any matters that arise in real-time (revisit protocol)
  • Inspect site after market closes; ensure yacht club bathroom is clean and restocked
  • Ensure that market vendors observe safe operating practices and comply with applicable local and state farmers market regulations including any special accommodations (i.e., Covid-19)
  • Monitor weather, make call to vendors if market will close for the day or close early due to weather (revisit protocol).
  • Deposit any income within 24 hours of receipt of funds.
  • Effectively resolve conflicts and solve problems with speed and diplomacy.
  • Other duties as required.

Weekly Responsibilities: Preparation and Monitoring (approximately 12-15 hours/week):

  • Recruit/serve as main contact to find substitute or additional vendors, respond to new vendor inquiries from website and social media, visit vendor if possible, request references/insurance and select for participation in market).
  • Maintain and update Constant Contact data.
  • Place and monitor advertising in Milton Times, Milton Neighbors and other media platforms.
  • Take photos to be used for newsletter and social media (revisit protocol).
  • Create weekly newsletter, distribute the day before or earlier with constant contact.
  • Create social media posts related to newsletter, post on the morning of the farmers market. Post additional images, info, themes throughout the week/season. Review social media metrics and ways to optimize.
  • Identify a point person if the market manager is absent.
  • Respond to inquires and questions from website and social media.
  • Continually evaluate the market/vendor strengths and areas of improvement. (Gene would regularly talk with customers and go around to vendors at the end of the day and ask, “How was your day?”) Customers and vendors give informative feedback to track emerging themes and trends.
  • Monitor budget, income, bank/checking accounts.
  • Other duties as required.

Planning Responsibilities: Two-Three Months Prior to Market Opening:

  • Board meets regularly to plan the market (review relevant data from the year before, market budget/income, pricing, vendors, volunteers, market rules, strategies for anticipated growth, new partnerships, specials events, contests and activities, etc.).
  • Review compliance of applicable local, state farmers market regulations; review any new or anticipated compliance issues or modifications.
  • Reach out to past vendors to ensure participation; recruit new vendors in case there is a need for substitutes or to expand the variety or products for sale. Be mindful of duplicate/overlapping products. Try to ensure the vendors with like products complement each other.
  • Notify the Milton Board of Health as to the seasonal dates of the market; work with the BOH in their regulatory role for applicable vendors.
  • Submit “Request for Use” Letter from Parks and Recs.
  • Notify Milton Yacht Club of dates; request use of bathrooms and key.
  • Establish annual fees; collect insurance certificates and rental fees from vendors.
  • Ensure emergency procedures are reviewed for accidents, medical emergencies, safety or crime issues, severe weather, or natural disasters. Establish a chain of command and/or a phone tree; stock first aid kit.
  • Other duties as required.
